NHS Peterborough choose Rendezvous to manage their room scheduling

NHS Peterborough has installed Rendevous room scheduling solution to better understand and manage Clinical and Non Clinical Rooms at its Community Hospital and Health Centres.

NFS and NHS Peterborough initially established contact in November 2008, having been introduced by Planet, the provider of FM services to the Trust. NFS provide meeting room and event management solutions to many of the leading UK medical establishments including; The BMA, The Royal College of Surgeons, The Royal College of Physicians and The Royal Society of Medicine. Our core expertise is technology that optimises the scheduling of meeting rooms and resources.

At the meeting in 2008, Rendezvous was presented as a complete solution for the management of rooms, resources and potentially services. It was established that NHS Peterborough are seeking both a proven scheduling solution and a relationship with the provider to adapt a commercially used package to the needs of the NHS.

The NFS proposal is to implement a solution at an NHS Peterborough health facility on a pilot test basis, in order to provide both parties with a "live" working model that could be extended to other NHS Peterborough health facilities in need of clinical room and resource scheduling.

Key objectives
NHS Peterborough is seeking to improve the utilisation of clinical rooms and all other non clinical areas across all of their sites in support of the Commissioners Asset Investment Management Strategy - CAIMS - and in the process deliver a number of key business and service benefits. Some of the important objectives of the pilot project are:

To gain a better understanding of the actual usage of clinical and non clinical rooms and facilities
To be able to develop objective measures of room and facilities utilisation to better inform commissioning plans
To offer users of rooms a simple and seamless booking experience, while still maintaining control of bookings and room allocation by NHS Peterborough
To be able to develop a set of business rules, which if applied across NHS Peterborough, would improve utilisation, reduce costs and deliver a better service to commissioners and resident service providers in all aspects of the room booking experience
To develop a set of scheduling criteria for room and resource management, as a result of having good management information
To be considered as an option for use by other commissioning PCTs in support of CAIMS

The way forward
We fully support the objectives of the Trust to achieve better facilities utilisation, lower costs, better client services and good management information to make the right long-term business decisions in relation to property and resources. We are confident that NFS will be bringing very relevant experience to the Trust in the arena of room and resource management, and are approaching this project as a "Partner", willing to make an upfront commitment to software, services and expertise on the basis of a long-term relationship with NHS Peterborough. Based on a successful implementation at the Botolph Health Centre, both parties expect Rendezvous to be implemented at other NHS Peterborough facilities.
